Tasks on the platform, assign and handle

Tasks on the eConnect platform: what they are, how they are assigned and handled.

Tasks on the eConnect platform are action items assigned to users, usually as part of an approval workflow. When an invoice needs to be reviewed, checked or approved, a task appears for the responsible employee.

How do you receive tasks?

Tasks appear in your Inbox as an action item. You receive an email notification when a new task has been assigned to you (provided you have enabled this in your profile). In the platform you can see the number of open tasks in the menu.

Tasks are usually created automatically by the workflow engine, but can also be started manually by an administrator or administrative user.

Handling a task

Open the task and review the associated document (invoice, expense claim or other document). You have the following options:

  • Approve: the document meets the conditions and may be processed.
  • Reject: the document is returned or receives the status "Rejected". You can provide a reason.
  • Delegate: you forward the task to a colleague, for example if you are not authorised to review this document or if another department is responsible.

After handling the task, the document automatically proceeds to the next step in the workflow, or receives its final status ("Approved for payment" or "Rejected").

Tasks with multiple people

A task can be assigned to multiple people at the same time. The workflow determines which mode applies:

  • All must act: every assigned person must handle the task before the document proceeds.
  • One is sufficient: as soon as one person approves or rejects, the task is completed.
Delegating to a partner environment

With an active partnership (for example with your accountant) you can also delegate tasks to users in another environment. This way your accountant can review and approve invoices without you having to do everything yourself.

Overview of your tasks

In the Inbox you have an overview of all open, completed and escalated tasks. You can filter by status, date and organisation to quickly find the right task.

Important: it is not possible to add validation reasons as a column to the Tasks view. Want to know why a document was rejected in the workflow? Open the document and view the Timeline.
