Where to find incoming invoices on the eConnect platform: Inbox overview, filters and forwarding.
All invoices you receive via Peppol, email or the eConnect platform arrive in your Inbox. There you can view, filter and forward them to your accounting software.
Open the Inbox via the main menu. You see an overview of all received purchase invoices, sorted by date. For each invoice the key details are visible at a glance: sender, invoice number, amount, date and status.
Use the search bar at the top to quickly find a specific invoice. You can search by invoice number, sender, amount or other attributes. The filter options let you refine the overview further, for example by period, status or organisation.
Click on an invoice to open the full details. You see the invoice data, invoice lines and any attachments. From this screen you can also download the invoice as PDF or XML.
The PDF view shows the invoice as the sender formatted it, or, if the invoice arrived as an e-invoice, a layout generated by the platform based on the XML data. The XML file contains the structured e-invoice data that your accounting software can import.
Each incoming invoice has a status indicating where the invoice is in the processing workflow:
You can manually adjust the status of an invoice via the detail page. When both parties are on the eConnect platform, status changes are exchanged automatically; the sender sees in real time that the invoice has been approved or paid.
If you have set up a software connection, incoming invoices are automatically forwarded to your accounting software. This happens in the background without any action required from you. Typically an invoice is visible in your accounting package within 4 hours.
If an invoice was not correctly delivered to your software, you can manually reoffer it. You do this via the invoice details using the "Reoffer" option. This works for both purchase and sales invoices.
Note: invoices marked as "Duplicate" must first be marked as "Original" before you can reoffer them.
The platform automatically checks for duplicate invoices. For each received invoice the combination of supplier, invoice date and invoice number is checked. If an invoice was previously received (even if it arrived through a different channel, for example first as XML and then as PDF), the duplicate is automatically flagged.
For genuine e-invoices (XML) the duplicate detection is 100% reliable. For PDF invoices the detection is increasingly accurate, but in exceptional cases a duplicate may not be recognised automatically. You receive an email notification when a duplicate invoice is detected.
Do you regularly work with the same filter settings? Save them as a view. You can also share views with colleagues, so everyone uses the same overview. From any view you can export the results as a CSV file (maximum 20,000 rows).
