Find your sent sales invoices

Where to find your sent sales invoices, how to track delivery status and set up delivery confirmations.

All invoices you have sent via the eConnect platform can be found in the Outbox. There you see the status, recipient, amount and delivery method for each invoice.

The Outbox

Open the Outbox via the main menu. You see a chronological overview of all your sent invoices, with the key details at a glance: invoice number, recipient, amount, date and status.

Use the search bar to quickly find a specific invoice. You can search by invoice number, recipient name or amount. The filter options let you refine the overview further, for example by period, status or organisation.

Statuses of outgoing invoices

Each sent invoice has a status indicating where the invoice is in the delivery process:

Statuses such as "Under review", "Paid" and "Rejected" are set by the receiving party. When both parties are on the eConnect platform, these statuses are exchanged automatically. When sent via Peppol, the recipient can send back a status message (Invoice Response Message).

The following diagram shows the possible status transitions of an outgoing invoice.

Has my invoice arrived? (Track & Trace)

The status Received in the Outbox means that eConnect has received a delivery confirmation from the receiving party. This is proof that the invoice was successfully delivered.

How quickly this status appears depends on the recipient:

  • Recipient on the eConnect platform: the status is exchanged directly. You see almost immediately whether the invoice has arrived.
  • Recipient via Peppol: the status is updated once the recipient's Access Point sends a delivery confirmation. This usually takes a few minutes.
  • Recipient via email: the "Opened" status appears when the recipient opens the email (if the email client supports this).

In the Sales invoices screen you find a Track & Trace diagram per invoice that visualises the complete route of the invoice: from creation to delivery, including any status updates from the recipient.

Invoice Response (status messages)

Some recipients support the Invoice Response Message (IRM), a Peppol standard that allows the recipient to report the status of your invoice. The following statuses are possible:

Not all recipients support Invoice Response. If a recipient does not send a status message, the status remains "Received" after successful delivery.

Delivery confirmation by email

If you submit invoices via the Email Receiver, you can set per trusted sender whether you want to receive a delivery confirmation by email. This confirmation is sent to the contact email address of the relevant sender. You enable or disable this at the trusted sender, via the option Notification on receipt via email.

Views and export

Do you regularly work with the same filter settings? Save them as a view. You can also share views with colleagues, so everyone uses the same overview. From any view you can export the results as a CSV file (maximum 20,000 rows). Read more in Create and share filters and views.

View invoice details

Click on an invoice to open the full details. You see the invoice data, invoice lines, attachments and the complete delivery history. From this screen you can also download the invoice as PDF or XML, or resend the invoice.
